Position Summary

The Chief of Staff is a senior leadership position responsible for driving strategic initiatives, managing internal operations, and supporting organizational effectiveness across finance, human resources, administration, project management and cross-functional coordination. Reporting directly to the Executive Director, the Chief of Staff acts as an integrator and operational leader to ensure the organizational programs, people, and processes work in alignment with its mission and goals.

Key Responsibilities

? Strategic Planning & Organizational Leadership

  • Partner with the Executive Director to define, prioritize, and drive organizational strategy and annual work plans.
  • Lead the coordination of strategic initiatives, special projects, and performance tracking.
  • Prepare high-level briefings, reports, and presentations for the Board and stakeholders.

? Finance Oversight

  • Oversee budget development, financial planning, and monthly/quarterly financial reporting.
  • Work closely with the Finance Officer or Accountant to ensure compliance with donor and legal requirements.
  • Monitor cash flow, grant allocations, and expenditure against budget.
  • Support annual audits and manage financial risk through strong internal controls.

? Human Resource Management

  • Supervise HR systems including recruitment, onboarding, performance reviews, and professional development.
  • Ensure compliance with labor laws and internal HR policies.
  • Promote an inclusive, empowering, and performance-driven organizational culture.

? Administrative & Operational Management

  • Oversee administrative staff, systems, and infrastructure to ensure efficient daily operations.
  • Manage procurement processes, facilities coordination, and IT administration.
  • Ensure compliance with organizational policies, legal requirements, and data security standards.
  • Coordinate office-wide communications, meeting logistics, and documentation systems.

? Internal Coordination & Communication

  • Act as a liaison across departments to ensure effective communication and information flow.
  • Drive interdepartmental alignment around shared goals and performance metrics.
  • Manage internal dashboards, reporting tools, and knowledge-sharing systems.

? Board & Stakeholder Engagement

  • Support preparation for board meetings and governance documentation.
  • Coordinate communication with donors, partners, government stakeholders, and community members.
  • Represent the Executive Director in internal and external meetings as needed.

? Project Management

  • Lead the planning, execution, and tracking of cross-departmental projects and special initiatives.
  • Develop project timelines, work plans, and performance metrics.
  • Ensure timely completion of deliverables and alignment with organizational goals.
  • Facilitate collaboration among program, operations, and external partners.

Qualifications

  • Bachelor’s degree required; Master’s in Nonprofit Management, Finance, Business Administration, Sociology, Public Administration, social work, economics or a related field strongly preferred.
  • Minimum of 2 years of leadership experience in nonprofit operations, finance, or executive management, entrepreneurship, social enterprises.
  • Strong financial literacy and experience managing budgets, audits, and funder compliance.
  • Demonstrated success managing people, operations, and strategic initiatives.
  • High-level writing, presentation, and interpersonal communication skills.
  • Strong emotional intelligence, integrity, and commitment to the organization’s mission.
  • Proficiency in writing, speaking, and listening in Afaan Oromo is required; knowledge of additional languages is an asset.
