Academic Program coordinator

Position Summary

The Academic Program coordinator is responsible for developing high-quality training programs, manuals, guidelines, and courses, and for coordinating all mentoring services provided to school and university students. The role oversees trainer and mentor management, customer engagement, and stakeholder coordination to ensure smooth delivery of education, training and skills-development services.

This position plays a central role in curriculum development, program planning, scheduling, quality assurance, and customer satisfaction. It requires strong organizational, communication, and people-management skills, with the ability to work across multiple departments within the Melese Duressa Institute.

Key Responsibilities

 Training Program Development

  • Design and develop training programs, modules, and short courses for diverse learners.
  • Prepare manuals, guidelines, worksheets, and learning materials.
  • Update and revise curriculum content based on feedback, market trends, and learner performance.
  • Ensure all training content aligns with the Melese Duressa Institute standards and customer needs.
  • Work with subject-matter experts (SMEs) to create accurate and practical learning materials.

Mentorship & Student Support Services

  • Coordinate mentorship programs for diverse learners/trainees.
  • Recruit, assign, and supervise mentors based on program and learners needs.
  • Develop mentorship frameworks, toolkits, and engagement guidelines.
  • Track mentee/trainee progress, attendance, and performance.
  • Ensure mentorship services provide measurable value to trainee’ skill, academic and personal growth.

Trainer & Mentor Management

  • Coordinate the selection, onboarding, and scheduling of trainers and mentors.
  • Prepare training calendars, session plans, and resource requirements.
  • Monitor trainer delivery quality and provide feedback.
  • Maintain a database of trainers, mentors, and subject experts.
  • Ensure compliance with company policies and program standards.

Customer & Stakeholder Engagement

  • Communicate with clients, customers and stakeholders regarding program offerings.
  • Handle customer, clients and stakeholders’ inquiries, onboarding, and support throughout the program lifecycle.
  • Build professional relationships with partner organizations.
  • Represent the Melese Duressa Institute in meetings, outreach activities, and sales/marketing initiatives.
  • Prepare program proposals and customized training packages for clients.

Program Operations & Administration

  • Prepare program budgets, resource lists, and procurement requests.
  • Maintain documentation such as attendance lists, feedback forms, evaluation reports, and training records.
  • Oversee venue bookings, digital platforms, and materials distribution.
  • Monitor program implementation timelines and performance indicators.
  • Support marketing and promotional efforts for training and mentorship programs.

Monitoring, Evaluation & Reporting (MEL)

  • Develop MEL tools for training and mentorship programs.
  • Track KPIs such as enrollment, completion rates, customer satisfaction, and learning outcomes.
  • Compile weekly, monthly, and quarterly performance reports.
  • Recommend improvements based on data-driven analysis.

Required Qualifications

  • At least bachelor’s degree in education, business, psychology, management, science, math, physics, engineering, computer, language, communications, journalism or related fields.
  • Experience in training coordination, teaching, mentoring, or educational program management preferred.
  • Familiarity with curriculum development and instructional design is an asset.
  • Strong communication skills (written and verbal).
  • Proficiency in MS Office, Google Workspace, and online learning platforms.
  • Ability to manage multiple tasks, meet deadlines, and work independently.
  • Strong interpersonal and relationship-building skills.
  • Proficiency in Afaan Oromo and Amharic are required; multilingual skills preferred.
